Freight Invoicing Fundamentals for Commercial Motor Carriers
In freight transportation, timely payment relies on having a water-tight paperwork trail. Brokers and corporate shippers will delay processing if key accessorial items or documentation references are absent.
1. Motor Carrier Authority (USDOT & MC #)
Federal regulations and broker compliance departments require proof of your active operating authority. Add your USDOT # and MC # directly beneath your company name.
2. Load Reference & Rate Confirmation Number
Every freight invoice must reference the brokerβs Load / Rate Con ID and the Bill of Lading (BOL) number. Shippers use these reference codes to reconcile your invoice against their receiving warehouse logs.
3. Linehaul vs. Accessorial Charges
Do not lump accessorial charges into the primary freight rate. Itemize:
- Linehaul Freight: Agreed base rate or per-mile charge.
- Fuel Surcharge (FSC): Adjusted according to the Department of Energy weekly diesel index.
- Detention: Billed hourly (standard is after 2 hours of free time at shipper/receiver).
- Lumper / Pallet Fees: Pass-through unloading charges with receipt attached.
- Layover / TONU: Truck Ordered Not Used fees if the broker cancelled at the dock.
4. QuickPay vs. Net 30 Terms
Specify whether you offer a standard Net 30 turnaround or a 2% QuickPay discount for payment disbursed within 48 to 72 hours.
β’ Fuel Surcharge FSC (DOE Diesel Pegged) ($380.00)
β’ Receiver Detention Fee (Dock 14 Unloading > 2 hrs @ $85.00/hr) ($170.00)
β’ Warehouse Lumper & Pallet Restack Fee ($160.00)
β’ Payment Terms: Net 30 days. QuickPay 2% discount within 10 days.
