Essential Information for a Valid Commercial Invoice

When goods cross an international border, customs authorities inspect the commercial invoice to calculate import duties, tariffs, and value-added tax (VAT). Incomplete documentation can hold your shipment in bonded storage for weeks.

1. Exporter & Importer (Consignee) Details

State full legal entity names, registered street addresses, contact phone numbers, and relevant tax identification numbers (e.g., US EIN, EU EORI number, or UK VAT registration).

2. Complete Item Descriptions & HS Codes

Avoid vague terms like "samples" or "parts". Use exact physical descriptions (e.g., "Precision CNC Machined Aluminum Brackets") accompanied by the 6 to 10-digit Harmonized System (HS) Tariff Code.

3. Country of Origin (COO)

List the country where the product was manufactured or assembled. This is critical for duty exemptions under bilateral trade agreements (e.g., USMCA, CPTPP).

4. Delivery Terms (Incoterms 2020)

Indicate the designated delivery term:

📋 Recommended Customs Declaration Clause:
"I declare that all information contained in this commercial invoice is true, correct, and complete, and that the products originate from the specified country of origin."
